{"id":45,"date":"2013-11-08T22:50:31","date_gmt":"2013-11-08T22:50:31","guid":{"rendered":"http:\/\/blogs.oregonstate.edu\/research4agriculture\/?p=45"},"modified":"2013-11-08T22:50:31","modified_gmt":"2013-11-08T22:50:31","slug":"cayuse-unlocking-mysteries-part-1","status":"publish","type":"post","link":"https:\/\/dev.blogs.oregonstate.edu\/research4agriculture\/2013\/11\/08\/cayuse-unlocking-mysteries-part-1\/","title":{"rendered":"Cayuse: Unlocking (some of) the mysteries \u2013 Part 1"},"content":{"rendered":"<p>We are beginning to ramp up our sponsored research proposal efforts as many of the popular NSF, USDA, EPA, and NIH annual solicitations are opening back up.\u00a0 As such, is seems an appropriate time to unravel some of the mysteries of Cayuse.<\/p>\n<p>One quick reminder: the CayuseSP module is internal to OSU.\u00a0 This is basically the new, electronic version of our proposal transmittal form (the old blue sheet for those of you that remember).\u00a0 This is information that will be kept in our Office of Sponsored Programs (OSP) but not distributed out to the sponsor or to any other institutions.<\/p>\n<p>&nbsp;<\/p>\n<p>Now, let\u2019s tackle some of the common areas of confusion:<\/p>\n<p>\u201c<strong>General Info<\/strong>\u201d (aka \u201c<b>Start New Proposal<\/b>\u201d) &#8211;<\/p>\n<ol>\n<li>The \u201c<b><i>Funding Agency<\/i><\/b>\u201d is who will provide funds directly to OSU.\u00a0 This causes some confusion when we are a subawardee; in that case, we would list the other institution (i.e. University of Washington) and then utilize the \u201c<b><i>Prime Funding Agency<\/i><\/b>\u201d to list the sponsor of the program funds (i.e. NSF).\u00a0 Otherwise, this \u201c<b><i>Prime Funding Agency<\/i><\/b>\u201d field can be left blank.<\/li>\n<li>Be sure to select an \u201c<b><i>Activity Code<\/i><\/b>.\u201d\u00a0 It isn\u2019t a required field for saving, but is required by OSP.\u00a0 This isn\u2019t the activity code we associate with indexes but rather whether the project is applied research, basic research, development, other sponsored activity, or research training.<\/li>\n<li>\u201c<b><i>Award Admin Dept<\/i><\/b>\u201d should be your home department (not college); this will be the first to receive your proposal for routing and should match what is listed under your department in the \u201c<b>Investigators\/Research Team<\/b>\u201d section.<\/li>\n<li>\u201c<b><i>Please identify a primary administrative contact who will manage this project should it be awarded:<\/i><\/b>\u201d \u2013 in most cases, this would be the name of the lead PI.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p>\u201c<strong>Investigators\/Research Team<\/strong>\u201d \u2013<\/p>\n<ol>\n<li>You must add the name of the lead PI first (required of the system).<\/li>\n<li>Be sure to check the \u201c<b><i>Dept.<\/i><\/b>\u201d that auto-populates with your name\u2026these can sometimes be incorrect or outdated.\u00a0 Please change it if necessary.\u00a0 Remember that the department of the lead PI should match that listed under the \u201c<b><i>Award Admin Dept<\/i><\/b>\u201d in the \u201c<b>General Info<\/b>\u201d section.<\/li>\n<li>As an FYI: You only need to list the names of those required to electronically sign-off on a proposal transmittal form; that would be anyone listed as a co-PI on the application package.\u00a0 Other key personnel are not required to be listed here.*<\/li>\n<li>\u201c<b><i>Person Months<\/i><\/b>\u201d are the cumulative amount of months that you will dedicate to this project.\u00a0 This would be a combination of both your \u201c<b><i>Sponsored Effort<\/i><\/b>\u201d and your \u201c<b><i>Cost Shared Effort<\/i><\/b>\u201d over all years.\u00a0 This would need to match what you list on a Current and Pending Support document; not just what you are requesting the sponsor fund.<\/li>\n<li>\u201c<b><i>Sponsored Effort %<\/i><\/b>\u201d is amount of FTE requested of the sponsor (your paid effort).\u00a0 It is calculated by dividing the # person months by the # project months (i.e., 1 month per year x 3 years = 3 divided by 36 = 8.3% Sponsored Effort).<\/li>\n<li>\u201c<b><i>Cost Shared Effort %<\/i><\/b>\u201d is the FTE that you will devote to this project in excess of that funded by the sponsor.\u00a0 Again, reference that Current and Pending Support document required of many agencies.\u00a0 If you list an effort of 10% on this pending project but only request funding support of 0.05 FTE\/year.\u00a0 You would have an additional 0.05 FTE\/year (5%) in this \u201c<b><i>Cost Shared Effort<\/i><\/b>\u201d category.\u00a0 Do note that anything listed at 5% or above in this \u201c<b><i>Cost Shared Effort %<\/i><\/b>\u201d cell will have to be tracked internal for auditing \/ compliance purposes.\u00a0 But, more on that later (as it is rather complicated).\u00a0 Just be true to the project proposed.\u00a0 If you are dedicating 1mth\/year to the project but aren\u2019t asking for full funding of that month, list the difference under this \u201c<b><i>Cost Shared Effort.<\/i><\/b>\u201d<\/li>\n<li>\u201c<b><i>Allocation of Credit %\u201d<\/i><\/b> is not used here at OSU so can be left blank<\/li>\n<\/ol>\n<p>*One tricky aspect is that only those listed in the \u201c<b>Investigators\/Research Team<\/b>\u201d section can see your proposal before routing begins.\u00a0 If you need administrative assistance with your CayuseSP file, be sure to add that person and select a \u201c<b><i>Role<\/i><\/b>\u201d of either \u201c<b><i>Proposal Editor<\/i><\/b>\u201d or \u201c<b><i>Other Participant (no routing)<\/i><\/b>\u201d.\u00a0 That individuals \u201c<b><i>Person Months<\/i><\/b>,\u201d \u201c<b><i>Sponsored Effort %<\/i><\/b>,\u201d and \u201c<b><i>Cost Shared Effort %<\/i><\/b>\u201d should all be zero.<\/p>\n<p>&nbsp;<\/p>\n<p>Wow \u2013 that was a lot of information already and I only covered two sections.\u00a0 I\u2019ll break there and provide more next week.\u00a0 Although, I\u2019ll leave with a promise that those two sections likely cause the most confusion so the rest will be a piece of cake.<\/p>\n<p>As always, contact me at any time with questions, comments, or concerns.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>We are beginning to ramp up our sponsored research proposal efforts as many of the popular NSF, USDA, EPA, and NIH annual solicitations are opening back up.\u00a0 As such, is seems an appropriate time to unravel some of the mysteries of Cayuse.
